3. Our Lawful Bases for Using Your Information

Under UK data protection law, we need a lawful basis for processing your personal information.

Depending on the circumstances, we may rely on the following bases.

Contract

We use information where it is necessary to provide the services you have purchased or requested from us.

For example, this includes creating your Academy account, delivering your programme, managing your membership and processing membership-related communications.

Legitimate Interests

We may use information where it is reasonably necessary for our legitimate business interests and those interests are not overridden by your rights and interests.

This may include:

  • improving the Academy and our services;
  • understanding how members use the Academy;
  • monitoring programme participation;
  • protecting our business and services from misuse;
  • responding to enquiries; and
  • operating and improving our customer service.

When relying on legitimate interests, we consider the impact of the processing on the people whose information we use.

Consent

Where required, we may ask for your consent before using your information for a particular purpose.

Where we rely on consent, you can withdraw that consent at any time.

Legal Obligation

We may process information where necessary to comply with legal obligations that apply to our business, including accounting, tax, consumer protection and regulatory requirements.

4. Email and Marketing Communications

We use email to communicate with members about their Academy membership, programme, lessons, account and other important service information.

These service communications form part of providing the Academy and are different from optional marketing communications.

We may also send you news, offers, Academy updates and other marketing communications where permitted by law.

Where required, we will obtain your consent before sending marketing communications.

You can unsubscribe from marketing emails at any time by clicking the unsubscribe link contained in the email or contacting us at [email protected].

Unsubscribing from marketing does not prevent us from sending essential communications relating to an active membership or transaction.

5. Information About Younger Dancers

The All-In Academy may be used by younger dancers as well as adults.

We recognise that children's personal information deserves particular protection and aim to collect only the information reasonably necessary to provide the Academy and support a dancer's development.

We do not use information about younger dancers for unnecessary profiling or make their personal information publicly available through the Academy.

Where appropriate, we may provide privacy information in simpler language so younger dancers can understand how their information is being used.

If you are a parent or guardian and have questions or concerns about personal information relating to a young dancer, please contact us at [email protected].

6. Sensitive and Health Information

The All-In Academy is not designed to collect medical or health information as part of its standard onboarding process.

Please avoid sending us sensitive medical or health information unless it is genuinely necessary.

If our services change in the future and we need to collect health information or other special category personal data, we will review our data protection practices and identify an appropriate lawful basis and additional condition for processing that information where required.

8. International Transfers

Some of the technology providers we use operate internationally and may process personal information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate protections are in place as required by applicable data protection law.

These protections may include transferring information to countries recognised as providing an adequate level of data protection or using approved contractual safeguards.

9. How Long We Keep Your Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing our services and meeting legal, accounting and reporting requirements.

How long we retain information will depend on the type of information and why we hold it.

For example, we may retain:

  • membership and account information while your account or membership remains active;
  • transaction and financial records for the periods required by applicable tax and accounting laws;
  • communications where necessary to manage our relationship with you or resolve disputes; and
  • marketing information until you unsubscribe or we determine that it is no longer appropriate to retain it.

When personal information is no longer required, we will delete, anonymise or otherwise securely dispose of it where reasonably practicable.

10. How We Protect Your Information

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

  • receive certain information in a portable format;
  • withdraw consent where we rely on consent; and
  • raise a concern about how we use your personal information.

These rights are not absolute and may depend on the circumstances and the lawful basis on which we process your information.

To exercise any of these rights, contact us at [email protected].

We may need to verify your identity before completing a request.

12. Cookies

Our website and the platforms we use may use cookies and similar technologies to operate correctly, remember preferences, maintain account sessions and understand how our services are used.

For more information about the cookies used on our website and your choices, please see our Cookie Policy.

13. Testimonials, Photos and Videos

We will not rely on these Privacy Policy terms alone as permission to publicly use a member's testimonial, photograph or video for marketing purposes.

Where we wish to feature a member publicly in our marketing, we will seek appropriate permission separately.

14. Links to Other Websites

Our website or Academy may occasionally contain links to third-party websites or services.

We are not responsible for the privacy practices of third-party websites that we do not control. We encourage you to review their privacy information before providing personal information to them.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, how we use personal information or applicable law.

The latest version will be published on our website with an updated date.

Where a change materially affects how we use personal information, we will take appropriate steps to bring the change to your attention where required.
